This Privacy Policy explains how DigiVision Live (“DigiVision,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards personal information when associations, administrators, speakers, participants, and website visitors use our websites, portals, and related services (collectively, the “Services”).

1. Scope and roles

DigiVision Live provides association education infrastructure, including registration, live program access, attendance tracking, CE-related workflows, reporting, and related account services.

Depending on the context, DigiVision may act as a service provider processing information on behalf of an association customer, or as a controller for information we collect directly for our own business operations (for example, website inquiries, billing contacts, and platform account administration).

2. Information we collect

We collect information that you provide directly, information generated through use of the Services, and limited information from associations or other authorized parties when they invite or register users.

  • Identity and contact details such as name, email address, phone number, organization, role, and professional credentials when provided
  • Account credentials and authentication data needed to access portals
  • Registration, attendance, completion, certificate, and related education program records
  • Payment-related information processed through our payment providers when paid programs or subscriptions are used (we do not store full payment card numbers on DigiVision systems)
  • Support communications, inquiry forms, and correspondence with our team
  • Device, log, and usage data such as IP address, browser type, pages viewed, approximate location derived from IP, and timestamps
  • Cookies and similar technologies as described in our Cookies Policy

3. How we use information

We use personal information to operate, secure, improve, and support the Services, and to fulfill our contractual and legal obligations.

  • Provide registration, live access, attendance, CE workflow, reporting, and account features
  • Authenticate users, manage roles, and protect against unauthorized access or misuse
  • Communicate service notices, confirmations, operational updates, and support responses
  • Process association subscriptions and, where applicable, program-related payments
  • Analyze aggregated or de-identified usage to improve reliability, usability, and product quality
  • Comply with applicable law, enforce terms, and respond to lawful requests

4. How we share information

We do not sell personal information. We share information only as needed to operate the Services or as required by law.

  • With the association or organization that administers a program or workspace, according to that organization’s configuration and instructions
  • With service providers who assist with hosting, email delivery, analytics, customer support, security, and payment processing under appropriate contractual safeguards
  • With professional advisors such as legal, accounting, or compliance counsel when reasonably necessary
  • In connection with a corporate transaction such as a merger, acquisition, or financing, subject to appropriate protections
  • When we believe disclosure is required to comply with law, protect rights and safety, or investigate fraud or abuse

5. Retention

We retain personal information for as long as needed to provide the Services, meet association customer requirements, resolve disputes, enforce agreements, and comply with legal, tax, and audit obligations. Retention periods may vary by record type and customer configuration.

We implement administrative, technical, and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your choices and rights

Depending on your location and relationship to DigiVision, you may have rights to access, correct, delete, or restrict certain personal information, or to object to certain processing. Association participants should generally contact their association administrator first for program-related records. You may also contact DigiVision using the details below.

Where required by law, we will honor applicable consumer privacy rights and verify requests before fulfilling them.

8. Children’s privacy

The Services are intended for professional association education and related business use. They are not directed to children under 16, and we do not knowingly collect personal information from children under 16.

9. International users

DigiVision operates in the United States. If you access the Services from another country, your information may be processed in the United States or other locations where we or our service providers operate.

10. Changes to this policy

We may update this Privacy Policy from time to time. The effective date above will be revised when material changes are posted. Continued use of the Services after an update constitutes acceptance of the revised policy where permitted by law.
